Terms & Conditions (Annual Meeting 2026)

Full payment is required before exhibit space will be officially secured. All fees must be paid in U.S. dollars and drawn on a U.S. bank. Payor must assume all bank fees.

Your organization’s 2026 IBTTA membership dues must be paid in full by time of reservation to qualify for the member-discounted exhibitor rate.

All exhibit reservations must be secured by Friday, September 25, 2026. Exhibiting companies that have not submitted reservation forms by this date are not guaranteed to be included in final printed program.

All exhibit space cancellations or reductions must be made in writing. Refunds are calculated as follows:

1. Cancellation or reduction of exhibit space on or before to October 16, 2026, a refund of 50% of exhibit space cost will be granted, unless IBTTA is able to sell the cancelled space.
2. Cancellation of exhibit space after October 16, 2026, no refund will be granted, unless IBTTA is able to sell the cancelled space.

Installation and dismantling of exhibits may only be conducted during the time specified. Exhibit hall hours are posted in the Exhibitor Handbook [COMING SOON].

• IBTTA follows the official Guidelines for Display Rules and Regulations as issued by the International Association of Exposition Management (IAEE). You can familiarize yourself with the rules by reviewing the IAEE Guidelines here.
• All exhibits must be arranged so that they do not project beyond the space allotted or obstruct the view of, hide, or interfere with other exhibits. If you plan to build a constructed exhibit display, please contact IBTTA with details of your plan. Exhibitors should not go forward with finalizing designs for build until IBTTA has approved your booth design to ensure compliance with size and scope restrictions.

• FOR LINEAR BOOTHS: Among the important policies to respect is the consideration that all exhibitors must remain within the confines of their own space and no exhibitor will be permitted to erect signs or display products in such a manner as to obstruct the view or disadvantageously affect the display of other exhibitors. Take a look at the diagram below for guidance on adhering to the line of sight rules.

  FOR ISLANDS: For exhibitors who are not inline booths (such as 20'x20' islands), please note the following regulations: In fairness to all other exhibitors, please limit your exhibit display to a maximum height of 16' on any and all sides. This will ensure that none of our exhibitors are disadvantaged with their lines of sight being blocked and so that the whole exhibit hall is viewable from all sides.

• If you plan to build a constructed exhibit display, please contact IBTTA with details of your plan. Exhibitors should not go forward with finalizing designs for construction until IBTTA has approved your booth design to ensure compliance with size and scope restrictions.

  Basic Booth Display

Exhibitor shall not play or permit the playing or performance of, or distribution of any copyrighted materials in the exhibit hall unless it has obtained all necessary rights and paid all required royalties, fees or other payment. In consideration of neighboring exhibitors, the playing of music or loud noises within the exhibit or display area is strictly prohibited. Sound of any kind must not be projected outside of the exhibit booth. Exhibitors are prohibited from employing any carnival-type attraction, animal or human, or from operating such noise-creating devices as bells, horns, or megaphones. Noise levels must not exceed 85 decibels.

Exhibitor shall not assign, sell its rights, sublet, share, or apportion the whole or any part of the space allotted, or have representatives, products, equipment, signs or printed materials from other than its own company in the assigned exhibit space. Suitcasing in the exhibit hall is forbidden.

Exhibitors may not order Food or Beverage from the Hotel or Convention Center, for their booth(s), without IBTTA approval.

Exhibitor should occupy assigned space at the Exhibit Hall opening and should not leave space unattended during the exhibit show hours. Exhibitor is expected to only dismantle display at the official closing time of the exhibit hall on Sunday, November 15, 2026 [for the 94th Annual Meeting & Exhibition].

Exhibitor agrees to abide by exhibit display and construction guidelines included in the Exhibitor Services Manual. All Exhibitors must remain within the confines of their own space and no Exhibitor will be permitted to erect signs or display products in such a manner as to obstruct the view, occasion injury, or disadvantageously affect the display of other Exhibitors. IBTTA will be the sole assignor of the Exhibitor’s space location and reserves the right to rearrange the floor plan and relocate any exhibit upon notification with said Exhibitor.

Distribution of samples and printed matter of any kind, and any promotional material, is restricted to the exhibit space. Any permitted food and beverage must be procured through the facility and with the assistance of the IBTTA staff. All aisles, passageways, and overhead space remain strictly under the control of IBTTA and no signs, decorations, banners, advertising material or special exhibit will be permitted in the aisles. Exhibit personnel should remember to remain within their own exhibit spaces. Any and all advertising distribution must be made from the Exhibitor's exhibit space. Stickers (including floor decals) are prohibited in the exhibit area. (Handouts with gummed backing that adhere or cause adhesion are considered stickers.)

Exhibitors shall not display products that infringe the intellectual property rights of others. IBTTA reserves the right, in its sole discretion, to prohibit a company from exhibiting, including removing an exhibit during an event, if IBTTA is made aware of allegations of infringement. Exhibitors waive all claims and agree not to sue IBTTA in the event of such prohibition or removal. Conversely, IBTTA has no obligation to exclude or remove an exhibitor accused of infringement. Exhibitors agree not to bring a claim against IBTTA for contributory infringement or any other theory that IBTTA is indirectly or secondarily liable for the intellectual property violation of another party or threaten to do so.

All forms of discrimination, harassment, bullying, and inflammatory statements are prohibited in any IBTTA activity. This policy applies to all participants in all settings and locations in which IBTTA work and activities are conducted, including but not limited to committee meetings, workshops, summits, conferences, virtual meetings, and other work and social functions where employees, members, volunteers, sponsors, vendors, or guests are present.

Exhibitor shall effect insurance coverage for all exhibit merchandise at site and in transit exclusive of business interruption insurance, if applicable, and IBTTA shall not be responsible for any loss or damage thereto, howsoever incurred. The exhibitor must carry his own fire insurance and public liability insurance of not less than one million dollars and provide proof of insurance to IBTTA prior to move-in. Please note the hotel may check for this when you move in, so be sure to have proof of insurance with you onsite.

As of March 28, 2022, IBTTA no longer requires proof of vaccination in order to attend an IBTTA event. Please read and follow the quarantine guidelines from the CDC in case you have tested positive for or have been exposed to COVID-19. The IBTTA staff will continue to monitor the guidelines and make changes as required.

No Exhibitor shall assign, sublet, or apportion the whole or any part of the space allotted, or exhibit therein, any other goods, apparatus, etc. than those manufactured or sold by the Exhibitor in the regular course of business. Sub-divisions, subsidiary organizations or partner product distributors that share space with a parent company will not be recognized as Exhibitors. This applies to booth personnel representatives’ badges as well as any listings in digital/print.

Further, to protect the integrity of the Event and the privacy of our participants, IBTTA does not sell participant data. Unsolicited marketing from third parties claiming to offer access to names/contacts of the “attendee database” are completely fraudulent and are in no way associated with IBTTA. Purchasing/Renting/Utilizing a list from a third party, is a direct violation of IBTTA’s Privacy Policy and IBTTA will not be liable for any fines imposed on the Exhibitor in accordance with the General Data Protection Regulation (GDPR). Further, IBTTA considers purchasing or renting such lists as a violation of your participation in the event and may impose penalties/fines, including but not limited to loss of priority points associated with preferred exhibitors, cancellation of current or future participation, sponsorships included, resulting in no refund. This does not release the Exhibitor from the obligations of this contract.

Exhibitors shall be responsible for making its exhibit space accessible to persons with disabilities as required by the Americans with Disabilities Act and shall hold IBTTA, its agents, and employees harmless from any consequences of exhibiting companies that fail in this regard. If a booth representative needs ADA accommodation, please make sure to indicate this during the booth staff registration process.

Exhibitors and attendees are prohibited from videotaping, video streaming/wireless transmitting or photographing other exhibitors’ booths, events, or activities during the IBTTA event, without the express written permission of IBTTA. However, an exhibit booth may be photographed or videotaped with the permission of the legitimate occupants of that booth, but that permission shall only apply to that exhibitor’s booth. By submitting your exhibit contract, the exhibitor gives consent to the IBTTA professional photographer to use images of both your person(s) and/or your display. The prohibition against videotaping, video streaming/wireless transmitting or photographing the event extends to members of the press unless they are registered as press and possess a “media” badge/ribbon. Booth personnel should immediately notify IBTTA’s show management if they believe their booth or another booth is being photographed/videotaped without permission. Television and/or video cameras (including webcams) are prohibited without prior written approval of IBTTA show management. IBTTA reserves the right to deny, alter or limit such access or distribution as the Event is the proprietary property of the IBTTA. In the case that sponsorships, advertising, partnerships, or anything similar is sold based on content obtained from the Event, whether on the show floor or elsewhere tied to the Event, IBTTA reserves the right to claim all such proceeds from seller without penalty. Any legal fees incurred by IBTTA to secure such revenue/proceeds will be at the expense of the party in violation.
